Salary: £35,000 (37.5 hours a week spread over 5 days)

Working arrangements: Hybrid working with a minimum of 2 days a month in the office (negotiable). Initially a 3-year contract with potential to be made permanent.

Overview

The Royal Society of Musicians (RSM) is an independent charity providing crucial support to music professionals across the UK whose lives have been impacted by physical or mental ill health. We support individuals throughout their careers and into retirement and in the last five years have distributed over 3,500 grants totalling over £3.6million. Running alongside our grant giving, our Health & Wellbeing Programme enables us to provide a holistic approach to supporting musicians by giving opportunities for participants to understand more about their health as a musician and learn ways to support their wellbeing, including injury prevention and positive mental health.

RSM is a membership organisation with over 2,000 Members, all of whom are professionally active in the world of music or retired. This includes notable musicians from across the UK music sector. Our Members join us to support our charitable activities and play a key role in raising awareness of our work and advising us of colleagues in need. Members are invited to regular get togethers at our London headquarters and across the UK.

RSM’s varied events programme is open to everyone working in the UK music sector. Taking place both in person and online, RSM’s events enable participants to learn more about our RSM and connect with like-minded individuals from across the sector.

Demand for our work continues to grow and we are now developing our organisation to enable us to support more music professionals at times of crisis. This includes developing our membership, fundraising, and events programmes, all of which will strengthen and broaden our networks and increase visibility across the UK music sector and beyond.

 

Main purpose of the job

The Events & Engagement Officer is a new role at RSM. Working alongside the Head of Development and Head of Membership & Communications, the postholder will play a key role in supporting the expansion of RSM’s varied events programme including Member events, cultivation opportunities and Health & Wellbeing activities. The postholder will also develop RSM’s stakeholder relationships, ensuring all those engaging with RSM have a positive experience and develop a clear understanding of our charity and its aims.

 

Key Responsibilities

Events

·         Work closely with the Head of Development and Head of Membership & Communications to plan, develop and deliver RSM’s year-round events programme.

·         Co-ordinate logistics for in-person events, including venue sourcing and booking, supplier liaison, recruitment and management of event volunteers, and on-the-day delivery.

·         Work with partner organisations and RSM volunteers to manage RSM’s online events programme, including event platform hosting.

·         Work with the Head of Membership & Communications to compile and produce printed and digital event materials including promotional materials and programme books.

·         In collaboration with the Head of Development, ensure event guests and supporters are thanked appropriately and in a timely manner.

 

Stakeholder and External Engagement

·         Work with the Head of Membership & Communications to administer RSM’s membership processes including membership subscription renewals

·         Work with the Head of Development to ensure all donors are thanked in an appropriate and timely manner.

·         Work with the Head of Development to enable opportunities for increased engagement of non-Member supporters.

·         Develop and maintain successful working relationships with stakeholders and suppliers.

·         Represent RSM at external meetings and events as necessary, reporting back as appropriate.

·         Attend regular training for any matters relating to the role or RSM as a whole.

·         Work with the Head of Membership & Communications to promote events and other RSM activities via RSM’s website, social media channels and Mailchimp mailings, creating visuals and scheduling timetables in line with RSM guidelines.

·         Ensure RSM’s event calendar and relevant website content remains up to date at all times.

 

Data Management and Reporting

·         Create and maintain stakeholder records within RSM’s systems including donors, Members and other contacts, ensuring information remains accurate and up to date at all times.

·         Ensure all information is managed in accordance with RSM’s policies, including those relating to GDPR.

·         Contribute to RSM’s impact reporting by compiling regular reports and statistics for presentation to the CEO and Governors by the Head of Development or Head of Membership & Communications.

·         Use RSM’s CRM to scrutinise data, enabling RSM to increase engagement with current audiences.

·         Work with the Head of Development to expand RSM’s contact list to facilitate development of new audiences.

 

Person Specification

Events

·         Proven experience planning and delivering events for varied audiences.

Administration

·         Extensive organisational and administration experience and highly proficient IT and AI skills 

·         Experience managing and developing CRM/database systems

·         Elevated Excel skills including data manipulation and report creation.

·         Strong written and verbal communication skills 

·         Experience managing social media channels and increasing engagement using online comms software.

People Skills and Other 

·         Empathetic, professional communicator, able to engage confidently with people at all levels and represent the Society publicly.

·         Team player, with the ability to work independently in a hybrid/remote setting.

·         An interest in music and the arts and sympathy towards the music profession.

·         Prepared to travel across the UK when necessary.

·         Experience of working in an arts/membership organisation or similar
